UK Mileage Costs Calculator

Estimate your HMRC mileage claim and compare it to your estimated real driving cost.

HMRC passenger supplement is 5p per passenger mile.

How this UK mileage calculator works

This mileage costs calculator UK tool is designed for employees and business owners who use their own vehicle for work travel. It helps you do two things quickly:

  • Estimate your HMRC mileage claim using approved mileage allowance rates.
  • Estimate your real out-of-pocket travel cost using MPG, fuel price, and extras such as parking or tolls.

If you only want the claim amount, enter miles and choose vehicle type. If you also want a realistic cost comparison, add fuel and other cost details.

Current HMRC approved mileage rates (business travel)

For most business mileage calculations, these are the commonly used Approved Mileage Allowance Payments (AMAP) rates:

Vehicle type Rate Rule
Cars and vans 45p per mile, then 25p 45p for first 10,000 business miles in the tax year, 25p above that
Motorcycles 24p per mile Flat rate for business miles
Bicycles 20p per mile Flat rate for business miles
Passenger supplement 5p per mile Per passenger per business mile (car/van)

Why mileage rate and real cost are not the same

A mileage reimbursement is a tax method, not a perfect reflection of your exact driving cost. Your actual cost can be higher or lower depending on:

  • Your car's fuel efficiency (MPG)
  • Fuel price in your area
  • Tyres, maintenance, servicing, insurance, depreciation
  • City driving versus motorway driving
  • Parking charges and toll roads

This is why the calculator shows both numbers. It gives you a practical view of what you can claim and what you probably spent.

Step-by-step example

Scenario

You drove 1,500 business miles in your own car. Your vehicle gets 50 MPG, petrol is 145p/litre, and you paid £30 in parking.

Result logic

  • HMRC amount (car, under 10,000 miles): 1,500 × £0.45 = £675.00
  • Estimated fuel litres: (1,500 ÷ 50) × 4.54609 ≈ 136.38 litres
  • Estimated fuel cost: 136.38 × £1.45 ≈ £197.75
  • Total estimated direct cost: £197.75 + £30.00 = £227.75

In this example, reimbursement is greater than direct fuel-plus-parking costs. That does not automatically mean “profit” because wear, maintenance, and depreciation still exist.

Who should use this calculator?

  • Employees claiming business mileage from their employer
  • Self-employed professionals tracking travel expenses
  • Freelancers comparing company reimbursement policies
  • Small business owners planning travel budgets

Good record-keeping habits

To stay accurate and compliant, keep a mileage log with:

  • Date of journey
  • Start location and destination
  • Business purpose of the trip
  • Miles travelled
  • Receipts for tolls, parking, and other travel costs

A clean mileage log saves time during payroll checks, tax filing, or audits.

Quick FAQs

Does this include commuting to my normal workplace?

Usually no. Ordinary commuting is typically not classed as business mileage. Check HMRC guidance for your specific situation.

Can I claim fuel receipts instead of mileage?

It depends on your arrangement and tax treatment. Many people use mileage allowance rates because they are simpler and standardized.

Are HMRC rates guaranteed forever?

Rates can change over time. This calculator reflects common current business mileage rates, but you should always verify official guidance when submitting claims.
